ORGANIZATIONAL DESCRIPTION: In Our Own Voice: National Black Women’s Reproductive Justice Agenda is the only national Black women’s reproductive justice organization. Our mission is to increase and highlight the leadership of Black women on reproductive health, rights, and justice issues. In Our Own Voice is a national-state partnership with eight Black women’s organizations: Black Women for Wellness, Black Women’s Health Imperative, New Voices for Reproductive Justice, SisterLove, Inc., SisterReach, SPARK Reproductive Justice NOW, The Afiya Center, and Women With a Vision.

As a Reproductive Justice organization, In Our Own Voice approaches policy issues from a human rights perspective, incorporating the intersections of race, gender, class, sexual orientation and gender identity with the situational impacts of economics, politics and culture that make up the lived experiences of Black women in America.

SUMMARY OF POSITION:

Reporting directly to the CEO, the executive assistant will primarily provide direct support to the CEO of In Our Own Voice in addition to providing development support in collaboration with the Finance team. Primarily, the assistant will manage the CEO’s calendar, special projects, provide overall administrative support and answer phones; and manage the assigned administrative components of development.

The Executive Assistant should have a passion for reproductive justice, exercise confidentiality and enjoy working in a small advocacy environment. The successful candidate must possess organizational skills, administrative acumen and be detail oriented, in addition to strong written and verbal communication. Last, they must possess the ability to manage their time, independently manage special projects and be able to pivot quickly.

RESPONSIBILITIES:
Executive Support

  • Complete a broad variety of administrative tasks, which supports the CEO
  • Manage CEO’s calendar
  • Manage CEO’s expense reporting
  • Travel Management, including booking hotels, flights/trains, car service
  • Collecting and coordinating documents, which may include agendas, policy work, financials, etc. for the CEO
  • Supporting CEO in planning for Board meetings

Finance Support

  • Coordinating development efforts
  • Fielding donor calls or email
  • Drafting acknowledgement letters: collect CEO’s signature and email/mail to donor
  • Coordinating grant documents to include award letter, budget, reporting terms
  • Tracking grant information to stay abreast of due dates and signatures
  • Other duties as assigned

QUALIFICATIONS:

  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Strong interpersonal skills and the ability to build relationships with staff board and external partners
  • Expert level written and verbal communication skills
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Emotional maturity
  • Highly resourceful team-player, with the ability to also be effective independently
  • Ability to handle confidential information with discretion
  • Adaptable to various competing demands
  • Forward thinker, who actively seeks opportunities and proposes solutions

Education and Experience:

  • Bachelor’s Degree
  • 3-5 years of experience supporting an executive in a nonprofit, advocacy or political environment
  • Experience and interest in reproductive justice
  • Proficiency in Outlook, Microsoft 365, Adobe, Donor platforms, Zoom and Teams

This position is based in Washington, DC with a 4-day work week.
